Registration Overview

Registration for CAIMUN is comprised of two steps: School Registration, which is filled out by the Head Delegate or Sponsor Teacher, and Delegate Registration, which is filled out by individual delegates. The current registration block is highlighted in red below.

School Registration: October 26th, 2017 – February 20th, 2018

Registering a School

If coming as a part of a delegation, the Head Delegate or Sponsor Teacher must register their school via the School Registration form. This is required in order for us to provide the most expedient and best service possible, and for us to note any special needs of a delegation or a Chaperone. Please keep in mind that all delegations must have at least one Sponsor Teacher or Chaperone. More adult supervisors are highly recommended, but not required. The recommended delegate to adult supervisor ratio is 15 to 1.

Once the School Registration form has been submitted, it will take up to 24 hours to update the website with your school. Once the delegate registration form has been updated with your school, your Head Delegate or Sponsor Teacher will receive a confirmation email and individual delegates from your school may register.

If you are not part of a school that has a delegation, you may register as an Independent Delegate.

Registering as a Delegate

CAIMUN is primarily a high school conference. Only students grades 6 to 12 (or equivalent) are eligible to attend as delegates.

Individual delegates attending as a part of a delegation must register their school before registering as a delegate.

Unless your delegation is paying as a group, every delegate must pay online. After completing your registration, you will automatically be directed to a payment form where you can pay via PayPal. For alternate payment options, such as cheques, email [email protected] for different arrangements.

Registration will be divided into three separate blocks: Early Registration, Regular Registration, and Late Registration. Early Registration guarantees delegates a spot in the conference and they will get their choice of committee and country. Regular Registration will most likely allow delegates to get their choice of committees, but it cannot be guaranteed. Committee and country assignment in the Late Registration block will be pending on the allotment of delegates across all the countries with attempts to accommodate all the delegates’ preferences.

All assignments are final with certain exceptions. These exceptions will be determined on a case-by-case basis.

Conference Fees

CAIMUN is proud to offer delegates the most affordable registration prices among all major hotel conferences in Western Canada. The registration fees for every registration block can be found below:

Early Registration: November 1st, 2017 – December 17th, 2017 $200.00
Regular Registration: December 18th, 2017 – February 10th, 2018 $210.00
Late Registration: February 11th, 2018 – March 15th, 2018 $220.00
Sponsor Teacher/Chaperone Room $200.00/night or $400.00/weekend

Financial Aid

Our aim as a conference is to educate youth and provide opportunities to develop essential skills such as public speaking and diplomacy. Hence, we are committed to ensuring every delegate is able to attend CAIMUN, regardless of his or her financial circumstances. We are proud to provide need-based financial aid – based on a first-come, first-served basis – for two cases:

1) Delegates who cannot afford the delegate fees;
2) Sponsor Teachers whose school will not provide funding for their room costs.

Starting this year, we are implementing a new two-stage Financial Aid Protocol that aims to make it even easier for delegates to attend CAIMUN 2017. The two stages are outlined below:

Stage One: Fundraising

This stage begins before a delegation applies for financial aid from CAIMUN. We have a limited number of funds available for financial aid, and hopes to use said funds to help as many delegates as possible attend our conference. Hence, we request that all delegates with financial need attempt fundraising for their own costs before requesting financial aid from CAIMUN. We will gladly assist in any fundraising efforts.

If fundraising is considered absolutely impossible for the delegation – for example, the school’s administrators do not allow clubs to hold fundraisers – CAIMUN moves onto Stage Two of its Financial Aid Protocol, provided that we have received sufficient proof that fundraising is not a possibility for the delegation.

Stage Two: Direct Subsidies

To apply for financial aid, please fill out the Financial Aid Application and wait for a response before completing delegate registration. Those who apply for financial aid during Early Registration will still receive Early Registration benefits even past the deadline if they are accepted.

Our subsidies go up to 100% of the Regular Registration fee, dependent on need. Delegates may be asked to provide proof of his or her financial situation before being granted financial aid. CAIMUN will use a set criteria to determine the degree of financial aid awarded. Please keep in mind that CAIMUN does not subsidize travel costs to and from our venue in Vancouver for international/non-local delegates.

We hope that our two-stage financial aid policy will enable as many delegates as possible to attend CAIMUN, without a significant financial burden.

If you have already applied for and have been granted financial aid in the form of a subsidy, complete the delegate registration form, choose the "Delegate Payment (Financial Aid Granted)" option to avoid being redirected to the original payment form, paying through the customized payment form we have emailed you in the financial aid grant notification. Delegates who have already registered and paid for CAIMUN cannot apply for or receive financial aid.

Rooming

Unless alternate arrangements are made, all delegate rooming will be single-sex, quadruple rooms, with delegates from the same school when possible. We can offer triple, double, or single rooming upon request. Contact [email protected] for more information.

All communication regarding rooming will be between the Secretariat and the Head Delegate or Sponsor Teacher. Final rooming lists will be submitted later in the year. All special requests regarding rooms should be relayed through the Head Delegate or Sponsor Teacher.

Please note that a delegation’s rooms may not be entirely quadruple rooms if either the number of females or the number of male delegates are not divisible by four. In this case, delegates from other schools may be placed in the room, or we may allow triple or double rooming at an additional cost. These issues will be dealt on a case-by-case basis.

If you are attending as an Independent Delegate, you will be put in a room with other Independent Delegates. If you, as an independent delegate, have a special rooming request, please submit it to [email protected] by April 1st, and we will try our best to accomodate it.

Cancellation Policy

By registering for CAIMUN 2018, you agree to the following cancellation and refund terms outlined below.
CAIMUN will be processing withdrawals and refunds based on when the refund request is confirmed by the participant. Refunds will be issued according to the timeline below unless other arrangements have been made in writing.

By March 3rd, 2018 50%
After March 3rd, 2018 No Refund

All cancellations will be subject to a $25 processing fee, subtracted from the final amount refunded.
Cancellations made after April 1st will not be granted refunds under any circumstances. The CAIMUN Secretariat Team always reserves the right to deny a refund for any particular reason. Please email [email protected] for details.
